Admissions and Outreach Coordinator

Essential Duties

To perform the job successfully, the individual must be able to perform each essential responsibility satisfactorily. 

Admissions

  • Conduct a thorough assessment of all potential candidates for admission. Utilize information gathered through assessment, knowledge of current milieu, and other factors to recommend acceptance or denial of admission. Coordinate with Admission Committee, clinical, residential, and/or administrative staff as needed throughout the admissions assessment process.
  • Receive and/or return phone calls and electronic communications regarding admission inquiries. Explain programs, answer questions, and conduct initial screening of potential clients. 
  • Ensure staffing of admissions line during business hours. Provide after-hours coverage as part of on-call rotation. 
  • Create EHR profile for all new clients. Maintain files within an in-house system to collect and utilize data to identify trends related to admissions and inquiries. 
  • Evaluate records and make recommendations to admissions team. 
  • Schedule and facilitate pre-admission evaluations and tours virtually or in-person at Trivium New England or through travel to the location of the potential client.
  • Coordinate all aspects of admission, including obtaining releases, obtaining records, collecting all necessary admission paperwork, arranging visits, admission date and payment. 
  • Act as a liaison/primary support person for referral and family throughout the admission process.
  • Present new client information to admissions committee and residential staff.
  • Ensure rooms are staged with proper furnishings prior to admission/tours. 
  • Update leadership team on the status of current referrals weekly and upon request. 
  • Resolve any issues with insurance/pharmacy/etc. prior/during the admissions process.
  • Actively support new clients, families, and staff during the initial transition of a new client.  Escort new clients to Trivium New England as needed. 

Outreach

  • Develop and steward strong relationships with current and potential referral sources. Continuously work to identify and network with new professional referral sources.
  • Analyze referral data to determine effectiveness of outreach efforts.
  • Schedule, prepare for, and facilitate virtual and in-person meetings with current and potential referral sources.
  • Coordinate with Director of Development to ensure strategic approach to outreach. In line with the identified priorities, schedule and attend conferences and tours of other programs who are or may become referral partners.
  • Represent TNE at networking groups and events.

General

  • Provide support to leadership upon request with special projects and program development.
  • Create and support an environment that allows for inclusion, effective intercultural engagement, and personal humility and authenticity. 
  • Handle confidential information with discretion. 
  • Attends applicable meetings, including Admissions/Marketing, Business Development, and various staff meetings. 
  • Attend virtual and in-person trainings to further career development.

Physical Demands

These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of this position. 

While performing the responsibilities of this position, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. 

The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision. The employee must be able to travel between locations, and occasionally attend seminars which may require an overnight stay. 

Working Conditions

Working conditions are normal for an office environment. The noise level in the work environment is usually quiet to moderate. Work requires regular regional and overnight travel up to 25%, and occasional weekend and/or evening work based upon the needs of the business.

This position will have the following experience and attributes:

  • Associate's degree required in a human services field.
  • Minimum five years of experience in the provision of clinical mental health treatment, residential experience strongly preferred.
  • Strong working knowledge of the fundamental types of emotional, behavioral, mental health, and substance abuse issues related to the population to be served.
  • Working knowledge and experience in the provision of a variety of service modalities to meet the needs of the population served with an emphasis on knowledge of evidence-based practices.
  • Possess and maintain a valid Drivers' License and acceptable driving record.
